How it works
How it works, in plain words
You do not need to know anything about computers to use LankaNova Hotel PMS. But if you like to understand what you are trusting with your hotel, here it is, step by step.
1. The program lives on your hotel's PC
Think of it like a very good notebook that sits on your front desk computer. All your bookings, bills, prices and stock are written in it, on that PC. That is why it is fast: nothing has to travel across the internet to open a screen. And that is why it keeps working when the internet or even the electricity company has a bad day.
2. Your data is in your Documents folder, locked
Your hotel's information is stored in one file in your Documents folder, in a folder called LankaNovaHotelPMS. The file is scrambled with a secret key that only Windows on your own PC can unlock. If someone copies the file to another computer, it is just noise. Uninstalling the program never removes it.
3. A second copy waits in your cloud account
When the internet is there, the program quietly sends each change to a private copy that belongs only to your hotel, kept safely in a data centre. If the PC were stolen or broke, your hotel's information is still there. If the internet drops, the program just remembers what it has not sent and catches up later. Nothing is lost and nobody has to do anything.
4. Phones join through the hotel Wi-Fi, then through the cloud
The main PC acts as the hotel's "hub". A phone first pairs with it over the hotel Wi-Fi: the Admin scans a code on the PC screen, so the program knows the phone is really yours. After that the phone can also reach the hub from outside the hotel through a sealed message service in the cloud that only the hotel's PC can open. The cloud only carries locked messages; it cannot read them.
5. Guests use private links, with no account
A guest's check-in form, bill or feedback is a web page with a long secret link, like a key. Only the person you send it to has it, it expires, and it shows only that guest's own information. Your booking page shows free rooms and prices, never a guest's name.
6. Backups: three layers
A copy of your data is made every day on the PC (kept for 14 days). A second is kept in your cloud account. And you can make a password-protected backup on a USB drive any time. A backup is useless to anyone without your password, and restoring one is a single button.
7. Updates arrive by themselves, and are checked
The program looks for a new version in the background, downloads it, and installs it only when you restart. Before installing, it checks a digital signature, like the seal on a medicine bottle, so a fake update from anyone else is refused. Your data is backed up first.
8. The smart features are plain arithmetic, not magic
Price suggestions, room assignment, forecasts and alerts are simple, readable rules that use your own bookings. Each one tells you why ("84% of Deluxe rooms are booked for Saturday, so +12%"). Nothing leaves your hotel, and nothing changes until you press Approve.
9. Who can do what
Everyone signs in with their own name and password (or Staff ID and PIN). The Admin decides what each person may do: a housekeeper sees housekeeping, a cashier takes payments but cannot change prices. Every important action is written in an audit log that cannot be quietly changed.
